At ZP Tutoring, we take your privacy seriously. This policy outlines what information we collect, how we use it, and what control you have over your data.
Information We Collect
Account Information
When you create a student account, we collect:
- First & Last Name
- Email Address
- Phone Number
- Google account email (used to share your Google Drive folder with you)
- Parent or guardian email and phone number (only if you choose to provide them)
We use this information to authenticate your access and send alerts and reminders about your upcoming sessions.
Mobile App
If you use the ZP Tutoring iOS app, we collect the same account and usage data described above. The app does not collect any additional data beyond what is listed here.
Usage & Activity Data
We use Google Analytics, a third-party analytics service, to understand how our website is used. It automatically records information such as:
- The pages you visit on our site
- Your device and browser type
- Your approximate geographic location (city/region) derived from your IP address
Our web server and login-security tools also record your IP address when you visit our site or attempt to log in, and we use cookies to keep you logged in and remember your preferences. We use this data solely for analytics, troubleshooting, and security monitoring.
Signed Agreement Records
When you sign the ZP Tutoring Student Agreement, on our website or in the iOS app, we record your signature (drawn or typed), your name, the date and time you signed (recorded in Eastern Time), the IP address you signed from, and which version of the agreement you signed. We keep a copy of the signed agreement for our records as proof of your acceptance.
Tutoring & Session Records
To provide tutoring, we keep records of:
- Your scheduled and completed sessions (dates, times, and session types)
- Hours purchased and used, balances, and payment records (amounts and dates)
- Session summaries and notes from your tutor
- Recordings of your tutoring sessions, as described in the Student Agreement
- Files you or your tutor share through your Dropbox or Google Drive folder
Payments are made through third-party services (such as PayPal, Venmo, or Zelle). We do not collect or store card or bank account details through our website or app.
Notification Preferences & Device Data
We store your alert preferences (email, text message, and push notifications). If you turn on push notifications in the ZP Tutoring iOS app, we also store a device token, which is a code that lets us send notifications to your device. It is not used to identify you outside of the app.
How We Use Your Information
We use the data we collect to:
- Manage Your Account & Sessions: Send alerts, reminders, and session access links.
- Provide Tutoring Services: Schedule sessions, track hours and balances, and share session summaries, recordings, and files with you.
- Improve Our Service: Analyze usage patterns and page visits to enhance your experience.
- Ensure Security: Detect and prevent unauthorized access or suspicious activity.
- Maintain Records: Keep a record of the agreements you accept.
Data Sharing and Disclosure
We do not sell or rent your personal information to third parties. We may share your data only with:
- Service Providers: The services we use to run our tutoring, such as email, text message, and push notification delivery, scheduling, video sessions (Zoom), automation, and file storage (Google Drive and Dropbox). They receive only what they need to provide their service to us.
- Legal Authorities: When required by law or necessary to protect our rights.
Data Retention
We retain your account and usage data as long as your account is active or as needed to provide services. If you submit request to close your account in writing, we will anonymize your personal information within 30 days, unless legal obligations require longer retention.
Security Measures
We implement industry-standard technical and organizational safeguards—including encrypted connections (HTTPS), secure servers, and access controls—to protect your data from unauthorized access, disclosure, or alteration.
Third-Party Tools
We use Google Analytics for internal analytics. This service may collect usage data as described in Section 1C above.
We use Dropbox and Google Drive integrations to give students access to their shared tutoring files. These services are accessed via secure links and we do not store your Dropbox or Google Drive credentials.
Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct or update any inaccuracies.
- Request deletion of your data or account closure in writing.
- Opt out of non-essential tracking.

We may update this Privacy Policy from time to time. When changes occur, we will revise the "Last Updated" date above and notify you via email or a notice on our website.
